The Challenge
Cleveland Metroparks manages more than 1,000 vehicles and equipment assets across three primary service garages and several additional maintenance locations.
Inventory, maintenance, and fleet information were being tracked through multiple spreadsheets, making the process cumbersome, inefficient, and increasingly difficult to manage. The fleet team lacked a single, reliable source of information for equipment records, service history, parts inventory, and maintenance scheduling.
As the fleet continued to grow, the spreadsheet-based process became unsustainable.
About the Visionary
The Cleveland Metroparks Fleet Manager knew there had to be a better way to manage the organization’s vehicles and equipment.
With more than 15 years of experience in transportation systems, he developed a vision for a unified platform that would bring all fleet and equipment information into one central location.
The Vision
The goal was to create a unified fleet management system with a simple, intuitive interface that any authorized staff member could use.
Users needed the ability to quickly view fleet equipment, access individual asset records, and drill down into critical operational information.
The system also needed to integrate with other Cleveland Metroparks platforms, including fuel management and personnel systems, to provide a more complete view of fleet activity.
Adatasol’s Solution
Adatasol developed a unified fleet management system that centralized vehicle, equipment, maintenance, inventory, and operational data.
Automated Maintenance Management
The platform introduced automated service reminders, maintenance scheduling, and repair logging.
With integrated parts inventory tracking, the fleet team gained better control over maintenance activities and asset availability. These capabilities helped reduce unexpected breakdowns, extend vehicle life cycles, and lower repair costs.
Analytics and Dashboards
Management dashboards provided trend analysis, key performance indicators, and exportable reports.
These tools supported data-driven decision-making and gave leadership greater visibility into fleet health, maintenance activity, asset performance, and operating costs.
Integrated Fleet Visibility
The platform connected critical fleet data with fuel management and personnel information.
This gave staff and management a more complete, real-time view of fleet operations and made it easier to identify issues, monitor performance, and respond to emerging needs.
The Results
The unified fleet management system helped Cleveland Metroparks achieve:
- Lower operating costs through improved maintenance scheduling and fuel tracking
- Fewer unexpected equipment breakdowns
- Longer vehicle and equipment life cycles
- Better parts and inventory control
- Enhanced compliance through automated recordkeeping and regulatory reporting
- Improved executive visibility through dashboards and analytics
- Greater operational awareness through real-time insights and alerts
- A single source of truth for fleet and asset information
Fleet and Asset Management for Large Organizations
Cleveland Metroparks manages a 25,000-acre park system that welcomes 18.5 million visitors each year, supported by a fleet of more than 1,000 vehicles and equipment assets.
When fleet information is spread across disconnected spreadsheets, maintenance can be missed, costs become difficult to track, and compliance reporting turns into a time-consuming manual process.
A unified fleet management platform changes fleet operations from reactive to proactive. Automated maintenance scheduling, parts tracking, system integrations, and real-time analytics help large organizations reduce costs, extend asset life, improve compliance, and gain clearer visibility into fleet performance.
