About Alcohol, Drug Addiction, and Mental Health Services (ADAMHS)

Established by Ohio Statute, the Alcohol, Drug Addiction, and Mental Health Services (ADAMHS) Board is responsible for evaluating, planning, funding, and monitoring services to help Lake County residents who are dealing with a mental illness and/or substance-use disorders. Those services are delivered through a network of providers. While day-to-day operations are handled by our staff, a board of directors oversees our work. All board members are Lake County residents who serve without compensation.

Challenge

ADAMHS needed a system to easily track requests for transportation services. Previously they were using a series of spreadsheets to separately track those requesting services and the services being provided. Knowing even the most basic information on utilization was difficult and any more complex reporting was impossible.

About The Visionary

Who is it, what is their role, who is their team The transportation coordinator was pulling her hair out managing multiple spreadsheets of the thousands of requested rides and trying to show schedules of available transportation. In addition, reporting of any kind had to be done with manual counting processes and even more spreadsheets.

Vsion

A new transportation tracking system would need to be easy to use while also providing a historic record of transportation provided on a daily or individual rider basis. It would need to have calculations to total ridership statistics for a given time period as well as reporting and export capability. It should also offer the ability to do easy queries on individuals or groups of riders or groups of transportaion requests.

Solution

The new system provided a single source of clarity for all ridership information. As hoped, entry of new transportation requests is incredibly fast because the system keeps a history of previous riders and adding a new ride for an existing rider takes just a couple of clicks. Because it’s so easy to use, any staff member can enter a new ride request without requiring special training. The system provides a history of all rides allowing management to access reports for any specified time period to validate ridership funding.
